Part of A file sharing service is really selling you its permission model
Best file sharing software 2027: facts and context, in plain terms
Why the best file sharing software cannot be ranked for you, and a method that can: a fixture set of awkward files, seven timed tasks, and an exit test.
This page does not rank file sharing products, and the reason is not caution. A ranking would have to assume it knows what you keep, who you share it with, and what you are obliged to prove about both. Change any one of those and the order changes.
What can be written down is a method: build a set of awkward files that represent your actual estate, run every candidate through the same set, and let the results do the sorting.
What to take away
- The deciding factor in this category is rarely storage or price. It is how the product models permission, and whether that model matches how your work is actually divided.
- A trial run on new, clean, small files tells you nothing. Test with the files that already give you trouble.
- Score on what the product does when something goes wrong, because that is the part no demonstration covers.
- Write the exit test into the trial. Getting data out is a feature, and it is easiest to measure while you still have a choice.
Why a ranked list would be dishonest here
Three things vary so much between organizations that they swamp any general ordering.
The first is the shape of collaboration. A firm where every document is internal has almost no overlap in requirements with one where half the work passes through clients, contractors, and regulators. The second is the estate you already carry: file counts, path depth, oversized items, and odd formats some engineer standardized on in 2014.
The third is obligation: if you must show who accessed a document and when, most other product qualities become footnotes.
Any list that puts a single product at the top has quietly picked one answer to all three. Better to know which answers you are picking.
Build the fixture set first
Before you look at a single product, assemble a folder of about thirty files that stands in for your worst cases. This is the single highest value hour in the whole evaluation.
Fixture set: what to include
- Largest single fileupload and sync limits
- Deepest nested folderpath length limits
- Accents, ampersands, long namescharacter handling
- Multi-editor documentconflict handling
- Machine-written filenarrow machine access
- Confidential filecontrols below top tier
- Old email linklink survival
Copy that set into every candidate. Same files, same order, same tasks. Everything after this is comparison rather than impression.
The tasks worth timing
Run the same seven tasks in each product, and time them with a watch rather than a feeling.
Seven tasks to time
- Give one outsider access to one folder
- Remove access and confirm old link dies
- Recover file deleted four days earlier
- Restore folder before a bad bulk edit
- Find who opened a document, and how far back
- Move folder between top level spaces
- Export everything and open it elsewhere
Task five is the one that most often separates tiers rather than products. Task seven is the one people skip.
Week one against week three
Almost every product wins week one. The interface is new, the search is fast because the account is nearly empty, and nothing has gone wrong yet.
Week three reveals the differences, and by then the account holds enough that search quality becomes a real question. Someone shared something they should not have, and a sync client made a conflicted copy. At least one person asked why they cannot see a folder everyone talks about.
Extend the trial instead of shortening it, and keep a plain log of every time someone had to ask for help, because that log is your comparison.
What the marketing page will not tell you
Ask these directly, and treat a vague answer as an answer.
Questions for the vendor
- How long is deleted content recoverable?
- Is file view history kept, and how long?
- Can admin export all content without support?
- Does export preserve structure and sharing?
- What happens to a deleted account's content?
- How long after cancellation can you collect?
The right to receive your own data in a usable form is settled law in some jurisdictions, not a favor. The regulator's explanation of data portability describes what a decent export looks like, even where the law does not reach you.
Scoring without fooling yourself
Split your criteria into two lists and keep them apart. Requirements are pass or fail: the product either does the thing or it is out, and there should be very few of them. Preferences are traded against each other, and they are where price belongs.
Requirements versus preferences
Requirements
- Scoring
- Pass or fail
- Count
- Very few
- Price
- Not here
- Outcome
- Product is out
Preferences
- Scoring
- Traded against each other
- Count
- As many as you like
- Price
- Belongs here
- Outcome
- Weigh and choose
Score independently, then compare notes. A group scoring session converges on whoever speaks first, and the disagreement you most need to see is usually confined to one row.
Then write down the reason for the choice in five sentences, including what you gave up. Renewal is much shorter when the earlier reasoning is on paper.
One honest warning before you start. If the real complaint is that nobody knows where the current version of anything is, the product may not be the problem. That is a decision about who owns a document and when it stops being a draft, and no amount of storage fixes it.
Where to read next
The category overview sets out what these products actually differ on and why permission models diverge. If a switch is likely, the migration guide covers what survives the move and what does not. The service model definitions published by NIST are a clean way to check whether two offers are even the same kind of thing.
Where documents are the point rather than the container, the office suite guide matters more than this one. Where sharing is mostly with people outside the company, so does the mail side of the estate and the way work items carry attachments.
Common questions
How many products should be in the trial?
Two, or three at most, chosen after disqualifying requirements have cut the field. A trial of five is a research project that nobody finishes properly, and the quality of the testing falls faster than the number of options rises.
Is a published shortlist from elsewhere useful at all?
For discovering that an option exists, yes. For deciding, no. The author does not know your file counts, your obligations, or what you already run, and those are the three things that decide it.
What if the two finalists are genuinely equal?
Then say so and break the tie on the easier exit. Time spent separating two adequate options is time not spent on the decisions where nothing adequate is on the table.
Can we run two products at once?
Deliberately, yes, if the boundary is a rule anyone can state in one sentence. Accidentally, which is the common case, it produces duplicate versions and a search that never finds anything on the first try.
